RotoPrecision Privacy Policy

Opening Statement

Maintaining and protecting Personal Information is important to RotoPrecision Inc.  In accordance with Canadian Privacy Legislation Directives, the following Privacy Policy has been developed regarding the collection, use and disclosure of Personal Information by RotoPrecision Inc.

Definition

For the purposes of this Privacy Policy, “Personal Information” refers to any information regarding an identifiable individual.

Collecting Personal Information

RotoPrecision Inc. collects relevant and appropriate Personal Information as part of the ongoing requirements of regular business operations. This includes, but is not necessarily limited to, collecting contact names, address information, relevant phone numbers, email addresses, banking information, personal and/or trade references and credit card information. This information may also include demographic information based on geographic location, age, gender, product preferences and related information to allow the company to better understand and support customer needs, maintain customer relationships, and communicate relevant information about existing and new products and services. RotoPrecision uses website analytics to retrieve and to collect information about the interaction with our company websites including referral sites, search engines, keywords, metatags and additional browser information. RotoPrecision also employs web technologies such as cookies and web beacons to collect information about pages viewed, links, click-thrus, and other actions taken while individuals visit and interact with our websites and services. This may also include monitoring whether individual e-mails sent have been opened and which links were clicked in order to provide more focused e-mail communications in the future.

Obtaining Personal Consent

RotoPrecision collects Personal Information only when it is provided voluntarily or, in certain instances, whenever there is a pre-existing and/or implied business relationship such as an email sales inquiry or the exchange of a business card at a trade show. By providing Personal Information to RotoPrecision, individuals consent to its collection, use and disclosure as outlined in this policy. Individuals may withdraw Personal Consent at any time and for whatever reason subject to legal or contractual restrictions. Using Personal Information

RotoPrecision Inc. uses the information collected as part of the ongoing requirements of regular business operations and to allow the company to better understand and support individual customer needs, to maintain customer relationships, and to communicate relevant information about both existing and new products and services. RotoPrecision also uses Personal Information to provide more effective customer service by making websites and/or services easier to use by eliminating the need for individuals to repeatedly enter the same information, by performing research and analysis aimed at improving products, services and technologies, and by displaying content customized to interests and preferences. In addition, RotoPrecision uses Personal Information for marketing purposes and to communicate directly with individuals including product updates, technical eBulletins and other relevant communications.

Opting-Out

RotoPrecision Inc. provides methods to unsubscribe and to opt-out from receiving marketing and/or promotional e-mail.  Opting-out does not necessarily apply to the receipt of communications considered to be essential in order to maintain the ongoing requirements of regular business operations such as technical information related to purchased products and/or accounting information such as collection notices, company communications, etc.  If an individual would like to cancel out of a service entirely and/or have an e-mail removed from the company database, they may contact our Privacy Officer using the contact information provided below.

Disclosing Personal Information

Unless express consent has been previously obtained, RotoPrecision will not disclose, sell, license, transfer, trade or rent Personal Information unless subject to legal or contractual restrictions which legally requires or authorizes the company to do so. RotoPrecision reserves the right to contract specific services to third-party service providers on its behalf such as, but not necessarily limited to, managing the logistics of digital mailings or surveys i.e. Constant Contact, Survey Monkey, etc. Third-party providers will be given only the Personal Information they need to deliver the service. They will be required under contract to maintain the confidentiality of the information and are prohibited from using it for any purpose other than fulfilling the express terms of the service to RotoPrecision Inc.  RotoPrecision also reserves the right to disclose and/or transfer Personal Information to a third party in the event of a proposed or actual purchase, sale, lease, merger, amalgamation or any other type of acquisition, disposal, transfer, conveyance or financing of all or any portion of the company so that individuals will continue to receive the same products and services without interruption.

Keeping Personal Information Secure

RotoPrecision is committed to protecting the security of Personal Information from loss and/or unauthorized access including in both electronic and hard copy. Access to Personal Information is restricted to individuals who have a business need that is directly related to the information provided. RotoPrecision uses a variety of generally accepted methodologies and technologies to help protect information from unauthorized use and/or disclosure such as firewalls and secure access controls. For example, customer, vendor and supplier information is stored within the company database which has limited access and is located in secure facilities.

Deleting Personal Information

RotoPrecision Inc. retains Personal Information only for as long as required by law or as necessary for the purposes for which it was collected. At an individual’s request, and subject to applicable law, RotoPrecision will inactivate and delete Personal Information from our records. Changes to The Privacy Policy

RotoPrecision Inc. reserves the right to review and/or modify this Privacy Policy at anytime and without notice in order to maintain compliance with Canadian Privacy Legislation Directives.

Maintaining Privacy Management through ISO Quality Systems

The RotoPrecision Privacy Management Program falls under the umbrella of its ISO Quality System. This ensures that all issues relating to Personal Information are properly documented, reviewed and audited as part of the ongoing requirements of ISO. This also demonstrates in a tangible and measurable way the company’s commitment to protecting Personal Information.
